An evening training institute keeps its master course schedule in Google Sheets. When the coordinator changes a session's date, time, room or lecturer, the calendar event every enrolled student and the lecturer already have updates within minutes, with a note on what moved.

The challenge
Rooms and times change every week as lecturers swap sessions and rooms are rebooked. The coordinator updates the schedule sheet, then writes separate emails and WhatsApp notices to each affected class. Some students miss the notice, arrive at the old room or on the wrong evening, and message the office to ask where class is tonight.
Before and after
Coordinator hours per week on change notices
−86%Student questions about room or time, per week
−80%Students arriving at the old room, per change
−83%The automation
Each session in the Google Sheets master schedule is linked to one Google Calendar event that enrolled students and the lecturer received when the course opened. When the coordinator edits a session's date, time, room or lecturer, the automation compares the row with its last version, updates the event in place and adds a short note on what moved, such as the new room number. Every attendee gets the standard calendar update, so nobody has to send a separate notice.
How it works
- 01
Coordinator edits the master sheet
A session's date, time, room or lecturer is changed in the Google Sheets master course schedule.
- 02
Change detected
The automation compares the edited row with its last version and notes exactly what moved.
- 03
Calendar event updated
The Google Calendar event that enrolled students and the lecturer already have is updated in place.
- 04
Short change note
A note saying what moved, such as the room changing from 204 to 310, is added to the event, and every attendee is notified.

The impact
The coordinator saves about 3 hours a week of change notices, and students who check their phone calendar always see the current room and time. Questions about where class is tonight drop from about 25 a week to 5, and far fewer students turn up at the old room.
Questions about this automation
Do students need to install anything?
No. Students accept a calendar invitation once, when the course opens, in whatever calendar app is already on their phone. From then on the same events simply update. Google Calendar, Outlook and Apple calendars all show the changes, including the short note on what moved.
What happens if the coordinator makes a mistake in the sheet?
The calendar follows the sheet, so correcting the row corrects the event within minutes. Rows with a missing time or an unknown room are skipped and flagged in a status column, so a half-typed change never reaches students. Simple automations like this are usually live within days.
Can it handle cancelled sessions?
Yes. Marking a session as cancelled in the status column cancels the calendar event for everyone, and the note says whether a makeup date is planned. When the makeup session is added to the sheet as a new row, a new event goes out to the same students and lecturer.
